Most AI price guides start with the subscription. That is the smallest number on the bill.

In October 2026 a low-cost AI model can read about a million words for around 10p. A business assistant seat costs about £15 a month. The money goes somewhere else: setting it up, training people, checking the output, and fixing the workflow when it breaks.

This guide prices all of it. Every figure comes from the vendor’s own page on 26 October 2026, with the source linked. Dollar prices are converted at the Bank of England rate for 22 October 2026 (£1 = $1.3363). We say when a price excludes VAT and when the page does not say.

The mistake most businesses make

They buy the tool first and look for the job second.

The Office for National Statistics found that 30% of UK businesses used AI in September 2026. Among firms with fewer than 10 staff it was 29%. Among firms with 100 or more it was 51% (ONS, October 2026).

The same statistics body found that businesses using AI use only about 1.6 AI tools each. It also found lack of expertise is the biggest barrier. Cost came well behind (ONS, July 2026).

So the risk is not that AI is too expensive. The risk is paying for seats nobody uses.

The principle: price the job, not the tool

Structure before scale. Pick one job that costs you time or money every week. Price the cheapest way to do that one job. Prove it works. Then add the next.

Whito sorts this into three stages:

  • Start: use the AI you already pay for. Write a one-page rule on what staff may paste into AI tools.
  • Build: add one automation or one assistant seat for a named job, and measure it.
  • Scale: connect AI to your systems through an API (a way for software to talk to other software), with proper security and data checks.

The five costs in any AI project

  1. Licences. Seats or subscriptions.
  2. Usage. Pay-per-use charges, such as tokens or resolved queries.
  3. Setup. Your time, or a developer’s, to connect and test it.
  4. People. Training, checking output, and owning the workflow.
  5. Safety. Security, data protection and policy work.

Most guides cover cost 1. Costs 3 and 4 are usually bigger.

What AI assistant seats cost

These are the general AI assistants staff use for writing, research and summaries.

ProductPublished priceIn pounds a monthNotes
Microsoft 365 Copilot Business£13.80 per user a month, annual, ex VAT£13.80Promotional price until 31 December 2026, normally £16.10. Existing Microsoft 365 Business customers, up to 300 users. Source
Google Workspace Business Standard£11.80 per user a month£11.80Whole Workspace plan, with Gemini built into Docs, Sheets and Meet. VAT basis not stated. Source
ChatGPT Business (Standard seat)£15 per seat a month, annual (£18 monthly)£15Minimum two seats. UK page does not say whether VAT is included. Source
Claude Team (Standard seat)£18 per seat a month, annual (£22.50 monthly)£15 before VAT2 to 150 seats. UK page says prices include 20% VAT. Source

The one to check first: if you already pay for Google Workspace or Microsoft 365, you may already have some AI included. Google includes Gemini in Gmail on its £5.90 Starter plan. Microsoft includes Copilot Chat with eligible plans. Use that before buying anything new.

The trap: the Copilot price is a first-year promotion. A 10-person team pays £1,656 a year at £13.80, then £1,932 a year at £16.10.

What automation costs

Automation tools move information between apps without anyone copying and pasting. Examples are sending a quote follow-up, logging an enquiry or chasing an invoice.

ToolPublished priceIn pounds a monthWatch out for

What the AI itself costs (when you build)

If a developer connects AI to your own systems, you pay per token. A token is roughly three-quarters of a word.

ModelPrice per million tokens (input / output)Our usage example, a month
OpenAI gpt-6-luna (low cost)$0.10 / $0.50about £2.99
Anthropic Claude Sonnet 5.5$2 / $10about £59.87
Google Gemini 4 Argon (from 1 December 2026)$4 / $20about £119.73

The usage example is 20 million input tokens and 4 million output tokens a month. That is far more than most small firms use. Sources: OpenAI, Anthropic, Google.

Date warning: Google’s Gemini 4 Argon price doubles on 1 December 2026. Gemini 3.8 Flash doubles on 1 January 2027. Re-check any Gemini budget before then.

The point: the model is the cheap part. A developer spending 40 hours on the build costs far more than a year of tokens.

What AI customer service costs

Customer service AI is now mostly priced per answered question.

ProductPublished priceIn pounds
Intercom Finfrom $0.99 per resolved query, plus seatsabout 74p per answer
Zendesk AI agents$1.50 per resolution (committed) or $2.00 (pay as you go), plus seats from £45 per agent a month (Suite Team, UK page)about £1.12 to £1.50 per answer
Tidio Lyrofrom €32.50 a month for 50 conversations (shown in euros to UK visitors)about £27.23 a month

Sources: Intercom, Zendesk UK and Zendesk resolution pricing, Tidio.

Is it worth it? Compare it with the cost of a person answering the same question. Our model assumes 300 questions a month, five minutes each, £25 an hour, and 40% answered by the AI. On those assumptions, Intercom Fin roughly breaks even.

It pays when questions take longer, arrive out of hours, or would otherwise need temporary cover. It does not pay for quick, simple questions your team already handles in passing.

The costs nobody prices

Your time. Setting up even a simple automation takes hours. We estimate 10 hours for a first Zapier workflow and 8 hours to set up Copilot for a team, plus an hour’s training per person. Change the figures to your own.

Checking the output. Somebody has to read what the AI writes before a customer does, especially in the first month.

Security. Cyber Essentials, the government-backed basic security certificate, costs £320 a year for 0 to 9 staff, £440 for 10 to 49, and £500 for 50 to 249. All prices exclude VAT (IASME). Get it before you connect AI tools to customer data.

Data rules. The Data (Use and Access) Act 2025 is now fully in force. If AI makes a decision about a person, such as a credit check, a price or a job application, the law now requires safeguards. You must tell people, let them have their say, offer a human review and let them challenge the decision (SI 2026/82). Take advice before you do this.

Data location. If your contracts say data must stay in the UK, check carefully. Several frontier AI models are not available for processing only inside UK data centres, and regional processing costs about 10% more.

Worked examples by business size

What UK visitors actually see

We opened 16 AI, automation, customer service, AI visibility and mapping price pages from a UK connection on 26 October 2026. 6 showed prices in pounds, 8 in dollars and 2 in euros.

  • Pounds: ChatGPT Business, Claude Team, Zendesk, Ahrefs, SE Ranking, Tradify.
  • Dollars: Zapier, Intercom, Otterly.AI, Semrush, Scrunch, OptimoRoute, Spoke, Mapbox.
  • Euros: Tidio, Rankscale.

The same product can look cheaper or dearer depending on where you read it. Claude’s UK page shows £18 a seat including VAT. Its US page shows $20 before tax. Before you compare two tools, check both prices are in the same currency and on the same VAT basis.

For almost every microbusiness and most small businesses, the answer is to buy or use low-code. Very few need bespoke AI.

A five-step check before you spend

  1. Write down one job that wastes time every week, and how many hours it takes.
  2. Check whether your current Microsoft or Google plan already includes AI.
  3. Price the cheapest route for that one job, using the tables above.
  4. Run a one-month pilot with a named owner and a before-and-after measure.
  5. Only then add seats or the next job.

The takeaway

AI is cheap to rent and expensive to adopt badly. Price the job, not the tool. If you cannot name the hours a tool will save, you are not ready to buy it.

Questions people ask

How much does AI cost a small business in the UK?

An AI assistant seat costs about £15 a month: ChatGPT Business shows £15 (annual) to UK visitors and Claude Team £18 including VAT. Using published prices and our stated time assumptions, a 3-person firm’s first year of AI comes to about £1,792, a 20-person firm about £7,322 and a 100-person firm about £32,934 (prices read 26 October 2026).

Is Microsoft Copilot worth it for a small business?

Only if staff will use it for a named job. Copilot Business costs £13.80 per user a month (annual, ex VAT) until 31 December 2026, then £16.10. For 10 users that is £1,656 a year, then £1,932. Pilot with three people first and measure the hours saved.

What is the biggest hidden cost of AI?

People’s time. A low-cost AI model costs about $0.10 per million input tokens, so the model itself is often a few pounds a month. Setting it up, checking its output and fixing it when something changes cost far more.

Do AI tools show UK prices in pounds?

Of 16 AI, automation, customer service, AI visibility and mapping price pages we opened from a UK connection on 26 October 2026, 6 showed prices in pounds, 8 in dollars and 2 in euros. Always compare prices in the same currency and on the same VAT basis.

How we priced this

  • Every price was read from the vendor’s own page on 26 October 2026. Each source is linked beside the figure. Where a vendor shows UK visitors a pound price, we use it. We read those pages from a UK connection.
  • Dollar and euro figures are converted at the Bank of England spot rate for 22 October 2026 (£1 = $1.3363, £1 = €1.1934).
  • Your card or invoice rate, and any pound price a vendor shows UK visitors, may differ.
  • Where a vendor publishes no price, we say so rather than estimate one.
  • Staff time is valued at £25 an hour as a placeholder; change it to your own figure.
  • We keep the full price table, with every source and date.
