This guide does not rank care software. It reports what four vendors published on their own pricing pages on 8 September 2026. There are no affiliate links on this page and no vendor named here pays Whito anything.

We expected patchy pricing. We did not expect this.

Not one published a price for a paid plan. One publishes a genuine free tier and hides both paid ones. Two have no pricing page at all. And one of them publishes a guide about the cost of care software that contains no numbers.

Why this is worse in care than elsewhere

Care software holds the care plans, the medication records and the audit trail an inspector will ask to see. Switching is not a procurement inconvenience, it is a clinical governance event. That is precisely the situation where a buyer should be able to shortlist on price before entering a sales process, and this market does not allow it.

It is not unique to care. When Whito read every live pricing page of 27 business software vendors in August 2026, only 9 published a genuine price in pounds for UK buyers and only 6 stated whether VAT was included. Care is at the extreme end of a general pattern.

What it costs to run the rest of the stack

For context, from Whito’s price check of 50 tools on 2 July 2026: a five person UK service business pays about £2,635 a year including VAT for a standard software stack, roughly £44 per person per month, while a credible sole trader stack costs about £18 a month.

Set against that, the regulatory costs are knowable and published. CQC annual fees for a care home ran from £313 for fewer than four service users to £15,710 above ninety on the scheme published as 2024/25, and community social care is charged at £239 plus £54.305 per service user per location. Those are on CQC’s own fees page, read on 8 September 2026, and we could not confirm whether a later scheme supersedes them because three CQC fee pages returned errors that day.

What to ask before you sign

  1. What is the price in pounds, per service user or per location, and does it include VAT?
  2. What is the minimum term, and what does the price do at renewal?
  3. What is the implementation or migration fee, stated separately?
  4. Can we export the full care record set, including care plans, medication records and photographs, in a usable format, and what does that cost?
  5. Where is the data hosted, who is the data controller, and what is the retention period after we leave?
  6. What happens to the price when we open a second location?

The export question is the one that decides how expensive your next decision will be, and it is the one vendors answer least precisely. Get the answer in writing, in the contract, not in the sales call.

A note on how to read a no-price page

A hidden price is not automatically a bad deal. Care software is genuinely priced by service user count, location count and module, and a published figure would be wrong for most buyers. What it does mean is that you cannot compare without spending several hours in sales processes, and that the vendor knows that and has decided it is worth it to them.

The practical response is to run three quotes at once with the same written specification, ask all six questions above in the same email, and compare the written answers rather than the demonstrations.
