Most software roundups for plumbers are written by whoever pays the highest commission. This one is organised by the only thing that matters: what stage your business is at, and whether the tool solves a problem you actually have at that stage.
One UK-specific test runs through the whole list: can it produce a digital CP12 landlord gas safety certificate? If you do gas work, that single feature separates tools built for the UK trade from tools translated into pounds.
The mistake: buying Scale software at the Start stage
A sole trader drowning in £100-a-month field service platforms is solving a problem they do not have yet. The order matters. Get paid and stay compliant first, systematise second, add leverage last.
No fixed prices are quoted below. Software pricing changes constantly. Confirm current pricing before buying.
Start: get found, get paid, stay legal
You need three things and none of them should cost much.
Google Business Profile. Free, and still the highest-return marketing asset a local plumber owns. Complete it before buying anything on this page.
FreeAgent. UK accounting software, free in full with a NatWest, RBS or Mettle business account. With Making Tax Digital for Income Tax starting April 2026, sole traders need digital records anyway, so free MTD-ready accounting is the obvious start. Otherwise QuickBooks has a sole trader plan at the bottom of its range, and Xero starts cheap and grows with you.
ServiceM8 Free. A rare genuine free tier: one user, 30 jobs a month, quoting and invoicing from your phone. Apple only in the field, and full certificate forms need higher tiers, but as a free starting system it is hard to argue with.
If you do gas work as a sole trader, skip ahead one stage. The certificate problem arrives on day one.
Build: systematise jobs, certificates and repeat work
This is where job-management software earns its subscription: quotes out fast, certificates digital, service reminders automatic. Repeat boiler services are the most profitable revenue a small heating firm has, and reminders are how you keep them.
Gas Engineer Software. UK software built specifically for gas engineers. Digital CP12s and all standard gas records, offline mobile app, analyser integration, priced per user at the affordable end. If certificates are the core of your paperwork pain, this is the focused answer.
Powered Now. UK-made for trades. Digital gas certificates on its mid tier and up, MTD compliance throughout, VAT submission on higher tiers. Note that certificates need the middle plan, so price that tier, not the entry one.
Tradify. Strong UK trade following. Digital landlord gas safety records plus direct notification to the Gas Safe Register from inside the app, which removes a whole admin step. Single plan, per user.
YourTradebase. UK-made and deliberately simple: quotes, invoices, scheduling, nothing else. No certificates, so pair it with a certificate app if you do gas. Best for general plumbing and bathroom firms who want less software, not more.
A caution on Jobber. Polished and heavily marketed in the UK, but it has no native CP12 or UK gas certificate support. Fine for a bathroom fitter. The wrong tool for a gas business.
Scale: multiple engineers, contracts, commercial work
Only worth the money once you have engineers to schedule and contracts to service. Bolting these onto a one-van business just adds cost.
Commusoft. UK-built, strong on landlord and commercial portfolios, CP12s built into the invoice workflow. Quote-based pricing, minimum user counts, so it prices itself for established teams.
Joblogic. Birmingham-based, geared to commercial contracts, SLAs and asset management, with the full library of gas certificates.
BigChange. Enterprise-grade jobs plus vehicle tracking for fleets. Confirm the CP12 workflow in the demo before committing.
Fergus. Built by a plumber, strong job costing for small-to-mid firms stepping up. Check UK gas form coverage before relying on it for certificates.
The quick chooser
| You are | Look at first |
|---|---|
| Sole trader, general plumbing | ServiceM8 Free or YourTradebase, plus FreeAgent |
| Sole trader or small team, gas work | Gas Engineer Software or Tradify |
| Small firm wanting one system for jobs and VAT | Powered Now |
| Multi-engineer firm, landlords and commercial | Commusoft or Joblogic |
| Fleet with vehicles to track | BigChange |
The sharp takeaway
Buy the stage, not the brand. Free tools cover the Start stage completely. At Build, pay for exactly two outcomes: certificates without paperwork and reminders that bring repeat service revenue back. At Scale, pay for scheduling engineers you already have. Any subscription that does not map to one of those is marketing you are funding, not software you are using.
Whito has no position to sell here. Where our stages come from: Start, Build, Scale for plumbers and heating engineers. If we ever earn a commission on a link, the page will say so.
